Privacy Policy
[Company legal name] ("we", "us") runs SignalHaul, software that helps dispatch businesses find, call, vet, sign and onboard owner-operator carriers. This policy explains what personal information we handle, why, who sees it and what choices you have. We follow the structure of the California Consumer Privacy Act (CCPA/CPRA) for everyone, wherever you live.
Two roles
- Our customers (dispatch businesses and their teammates) give us account details and use the product. For this data we are the business responsible for it.
- Leads and carriers (the people a customer calls, signs and onboards) are the customer's contacts. We process their data on the customer's behalf, as a service provider or processor. The customer decides why it is used and is responsible for lawful use. If you are a carrier and want to see or delete your data, ask the dispatcher you work with, or write to us and we will pass it on.
What we collect
| Category | Examples | Source |
|---|---|---|
| Account data | Name, work email, password (stored hashed), workspace name, teammates' details, billing plan | You and your teammates |
| Public carrier records | Company and officer names, business address, phone and email, USDOT and MC numbers, fleet size, authority dates, insurance on file | The public FMCSA census and insurance datasets, and live FMCSA lookups. Some of these records are about sole proprietors. |
| Call data | Call logs, notes, outcomes, voicemail recordings and transcripts, and call recordings when a customer turns recording on | The customer's calls, through their own phone provider account |
| Carrier documents | Signed agreements, typed names and drawn signatures, W-9 forms (which include a taxpayer identification number), insurance certificates, onboarding answers | Carriers, through links the customer sends them |
| Signing evidence | Time, IP address and browser details when a link is opened or an agreement is signed | Collected automatically on carrier pages |
| Usage data | Pages visited and button clicks, in aggregate | Cookieless analytics (see below) |
How we use it
- To provide the product: import leads, place and receive calls, send and sign agreements, store carrier documents.
- To keep it secure and to prevent abuse, including keeping an append-only audit trail of agreement events.
- To bill, support and communicate with customers.
- To understand which pages and features are used, in aggregate, so we can improve them.
We do not sell personal information and we do not share it for cross-context behavioural advertising.
Who we share it with
With service providers (hosting, database, file storage, billing, telephony, email and PDF rendering) who process data only to run the product; with the customer whose workspace the data belongs to; if the law requires it; and in a sale or merger, with notice to you.
Call recording
Recording is off by default. When a customer turns it on, both sides hear "This call may be recorded." at the start of the call. Recordings and voicemail are deleted after the retention period the customer chooses, up to the limit of their plan. Some US states require every party's consent to record; customers are responsible for using recording lawfully (see the Acceptable Use Policy).
Cookies and analytics
We use essential cookies to keep you signed in and to remember your theme choice. Our website analytics (Vercel Web Analytics) are cookieless and anonymous. We do not use advertising pixels. If that changes we will update this policy first.
How long we keep it
Account and workspace data is kept while the account is active and deleted or anonymised after it closes, apart from what we must keep for tax, security or legal reasons. Recordings and voicemail follow the customer's retention setting. Public FMCSA records are refreshed from the source.
Your rights
Depending on where you live you may have the right to know what we hold, to correct or delete it, to receive a copy, to opt out of sale or sharing (we do neither), and not to be treated worse for using these rights. Write to support@signalhaul.com. We may need to verify who you are, and for carrier data we may refer you to the customer who controls it.
Security
We use access controls, encryption in transit and per-workspace separation of data. No system is perfectly secure, and we do not claim any security certification or audit unless and until we hold one and say so here.
Children
The product is for businesses and is not directed to children under 16.
Changes and contact
We will post changes here and update the date above. Questions: support@signalhaul.com, or [Company legal name], [address].
